As the Project Support, you'll play a crucial part of our team, ensuring the seamless delivery of professional support services to the Programme Area and beyond. Operating primarily on your own initiative, you'll keep the office running smoothly while efficiently managing the needs of senior stakeholders. Your proactive approach and ability to navigate complex situations will be instrumental in our success.

What you’ll be doing…

 

As our next Project Support, you'll be responsible for delivering a professional, accurate, and reliable administration support service to both the department and the extended business unit as needed. This includes managing diaries and itineraries for meeting arrangements, preparing meeting packs, coordinating room bookings, arranging travel, accommodation, and transportation, as well as ensuring hospitality requirements are met. Additionally, you'll maintain data and records to ensure information is readily available and easily accessible for the team as well as:

 

  • Foster close collaboration with counterparts in other NNB locations and command centres to enhance interaction and teamwork.
  • Ensure accurate recording and production of minutes for essential business meetings to capture key decisions and actions.
  • Offer various office services such as reprographics, binding, and other administrative support to facilitate smooth operations.
  • Uphold strict confidentiality standards to safeguard sensitive information and maintain trust within the team.
  • Stay connected with team members during their absence from the office, addressing any issues and taking necessary actions for resolution.
  • Responsively handle a wide range of phone and email inquiries from external parties, ensuring timely and professional responses.
  • Prepare letters, documents, and reports meticulously, ensuring they are well-presented and aligned with organisational standards.

 

Who you are…

 

In this role, we’re looking for you to posses strong organisational skills, displaying flexibility, organisation, and methodical approaches to tasks. Additionally, the ability to work independently and proactively is essential, along with excellent communication and interpersonal skills for effective interaction both internally and externally.

 

A collaborative mindset and the capability to contribute positively to team dynamics and success are also crucial. Moreover, we’re looking for you to demonstrate a flexible approach, adeptness at multitasking, and the initiative to work autonomously when necessary as well as holding:

 

  • Strong organisational skills with flexibility, methodical approaches, and adaptability
  • Ability to work independently and proactively, taking initiative to manage tasks effectively
  • Excellent communication and interpersonal skills for interaction across various organisational levels and with external parties

  • Proficiency in general administrative tasks, maintaining discretion with sensitive information, and attention to detail for task completion
