Job overview
We have an opportunity for a Band 3 Administrator to join our Mindworks Team based in Chertsey.
Mindworks provides emotional wellbeing, Mental Health and Learning Disability support in Surrey.
This role is suitable for some who has the ability to work as part of a team, as well as under their own initiative, who is able to prioritse their workload, has a professional approach to clients, who has the ability to communicate complex information and who is able to communicate highly sensitive information.
Main duties of the job
To monitor and complete administrative work received from the team in the admin inbox in a timely manner.
To undertake typing and formatting of letters & reports to support the team.
To answer telephone calls from the yp/families/carers and professional bodies and transmitting messages to team members.
To be responsible for maintaining the confidentiality and security of client data in accordance with Trust Policy.
To be able to use SystmOne database (Trusts Health Records System), including data entry, management of referrals and accurately enter information to it.
To answer and respond to any administrative queries staff have on a day to day basis.
To take minutes at the team meetings.
To support team members in liaising with young people and their families/carers/GPs and other relevant care agencies.
To coordinate and book rooms for meetings and clients appointments.

Experience
Essential criteria
- Experience of using Microsoft Office, Particularly Word, Basic Excel and Outlook
- Experience of office/administration work
- Experience of communicating effectively at all levels with a variety of contacts
- Good working knowledge of Data Protection and Confidentiality
Desirable criteria
- Experience of working within and NHS setting
Qualifications
Essential criteria
- Good standard of general education to include 5 GCSE (or equivalent) including English and Mathematics
